Member Bookings

Learn how members book classes and how staff can manage bookings, capacity, and waitlists.

How Members Book Classes

Members can easily book classes through their dashboard:

  1. Navigate to Classes in the member dashboard
  2. Browse upcoming class occurrences in the calendar view
  3. Click on a class to see details (instructor, capacity, time)
  4. Click "Book This Class"
  5. Receive confirmation via email

💡 Note: Members can only book classes if they have an active subscription and have completed any required health screening.

Canceling Bookings

Members can cancel their bookings:

  • Go to My Bookings in the member dashboard
  • Find the booking they want to cancel
  • Click "Cancel Booking"
  • The spot becomes available for other members

⚠️ Cancellation Policy: Members should cancel at least 2 hours before class starts to allow others to book. Consider setting your own gym's cancellation policy.

Viewing Bookings as Staff

Staff members can view and manage all bookings:

Class Occurrence Bookings

  1. Go to Classes → Calendar
  2. Click on any scheduled class occurrence
  3. View the booking list with member names
  4. See capacity status (e.g., "8/10 spots filled")

All Bookings View

Access a comprehensive list of all bookings:

  • Navigate to Bookings in the main menu
  • Filter by date range, member, or class
  • Export booking data for attendance tracking

Managing Class Capacity

Control how many members can attend each class:

Setting Capacity

  1. When creating or editing a Class Template, set the Max Capacity
  2. This limit applies to all occurrences created from that template
  3. Once capacity is reached, members can't book (unless you enable waitlists)

Override Individual Occurrence Capacity

You can adjust capacity for specific class occurrences:

  1. Click on a class occurrence in the calendar
  2. Click "Edit Occurrence"
  3. Change the capacity field (e.g., reduce for maintenance days)
  4. Save changes

Waitlist Management

When classes fill up, members can join a waitlist:

How Waitlists Work

  • When a class reaches capacity, the "Join Waitlist" button appears
  • Members are added to the waitlist in chronological order
  • If someone cancels, the first person on the waitlist is automatically notified via email
  • Waitlisted members have 2 hours to confirm their booking before it's offered to the next person

Managing the Waitlist

  1. View the waitlist by clicking on a class occurrence
  2. See waitlist order and member names
  3. Manually promote waitlisted members if needed (e.g., if capacity increases)

✅ Best Practice: Encourage members to join waitlists! It helps you understand demand for classes and ensures spots don't go unused.

Member Check-In

Mark members as attended for classes:

  1. On the day of the class, open the class occurrence
  2. View the booking list
  3. Check members in as they arrive (tap the checkbox next to their name)
  4. Track attendance for reporting and member engagement

This helps you monitor no-shows and understand class popularity.

No-Show Policies

While ClearGym tracks attendance, you'll need to establish your own no-show policy:

  • Review attendance reports regularly
  • Contact members with frequent no-shows
  • Consider implementing a "3 strikes" policy
  • Use email broadcasts to remind members about your cancellation policy
