Settings & Configuration

Customize ClearGym to match your gym's needs and preferences. Configure organization details, manage your subscription, and personalize your account.

Accessing Settings

Settings are organised into logical sections:

  1. Click your profile picture or initials in the top-right corner
  2. Select "Settings" from the dropdown menu
  3. Navigate through the sidebar to different settings sections

๐Ÿ’ก Note: Some settings are only visible to the gym Owner. Admins and Instructors see limited settings based on their permissions.

Organisation Settings

Configure your gym's basic information:

Basic Information

Navigate to Settings โ†’ Organisation:

  • Organisation Name: Your gym's legal or trading name
  • Contact Email: Primary email for member enquiries
  • Physical Address: Full address including postcode
    • Required for email compliance
    • Shown in email footers

Platform Subscription

Manage your ClearGym platform subscription:

Subscription Overview

Navigate to Settings โ†’ Subscription to view:

  • Current Plan: Your active subscription (ยฃ50/month)
  • Next Billing Date: When your next payment is due
  • Payment Method: Card on file for platform subscription
  • Billing History: Past invoices and receipts

Updating Payment Method

Change the card used for your platform subscription:

  1. Go to Settings โ†’ Subscription
  2. Click "Update Payment Method"
  3. Enter new card details
  4. Save changes
  5. New card used for next billing cycle

Viewing Invoices

Access your billing history:

  1. Navigate to Settings โ†’ Subscription โ†’ Billing History
  2. See all past platform subscription invoices
  3. Download PDF receipts for accounting
  4. View payment status (paid, pending, failed)

Cancelling Your Subscription

If you need to close your ClearGym account:

  1. Go to Settings โ†’ Subscription
  2. Scroll to "Cancel Account" section
  3. Review cancellation terms:
    • Access continues until end of current billing period
    • All member subscriptions will be cancelled
    • Data will be retained for 30 days then deleted
  4. Click "Cancel Account"
  5. Confirm by typing your gym name

โš ๏ธ Important: Cancelling your ClearGym account automatically cancels all member subscriptions. Inform your members before taking this action.

Profile Settings

Manage your personal account settings:

Personal Information

Navigate to Settings โ†’ Profile:

  • First Name: Your first name
  • Last Name: Your last name
  • Email Address: Used for login and notifications
  • Profile Photo: Optional photo (appears in top-right corner)

Changing Your Email

Update your account email address:

  1. Go to Settings โ†’ Profile
  2. Enter new email address
  3. Enter your password to confirm
  4. Verification email sent to new address
  5. Click verification link in email
  6. Email updated and you're logged out (log back in with new email)

Changing Your Password

Update your account password:

  1. Navigate to Settings โ†’ Security
  2. Click "Change Password"
  3. Enter current password
  4. Enter new password (minimum 8 characters)
  5. Confirm new password
  6. Save changes

โœ… Security Tip: Use a unique, strong password. Consider using a password manager to keep your account secure.

Notification Preferences

Control which emails you receive:

  1. Go to Settings โ†’ Notifications
  2. Toggle on/off:
    • New Member Signups: Email when someone joins
    • Failed Payments: Alert when member payment fails
    • Class Bookings: Notify when classes fill up
    • Product Updates: Announcements about new features
  3. Changes save automatically

Stripe & Payment Settings

Manage your Stripe Connect account:

Viewing Stripe Status

Navigate to Settings โ†’ Payouts:

  • Connection Status: Connected, Pending, or Not Connected
  • Stripe Account ID: Your unique Stripe account identifier
  • Payout Schedule: How often Stripe pays you out
  • Bank Account: Last 4 digits of connected bank account

Updating Stripe Details

To change bank account, payout schedule, or business details:

  1. Go to Settings โ†’ Payouts
  2. Click "Manage Stripe Account"
  3. Redirected to Stripe dashboard
  4. Update your settings directly in Stripe
  5. Changes sync automatically with ClearGym
