Member Management
ClearGym makes it easy to invite, view, and manage your gym members all in one place.
Inviting Members
Send secure invitation links to new members:
- Go to Members → Invite Member
- Enter email and assign a membership plan
- Invitation expires after 7 days
- Members create their own password for security
⚠️ Note: Members must use the invitation link within 7 days. After that, you'll need to send a new invitation.
Viewing Member Details
Access comprehensive member information:
- Contact details (email, phone)
- Subscription status and history
- PAR-Q responses (encrypted for privacy)
- Liability waiver signatures
- Staff notes (private, member can't see)
Search and Filters
Find members quickly using powerful search and filtering:
- Search: By name, email, or phone number
- Filter by subscription status: Active, canceled, or trial
- Filter by alerts: Unverified email, incomplete PAR-Q, flagged health responses
- Sort: By name, join date, or subscription status
Member Notes
Keep private staff notes on each member:
- Click on a member to view their profile
- Scroll to the Notes section
- Add or edit notes inline
- Notes are private—members cannot see them
Use notes to track important information like injury history, special requirements, or follow-up actions.
